    Executive Director of Middlesex West Chamber of Commerce
    Currently a part time position
     
    EXECUTIVE DIRECTOR
    To coordinate the growth and development of the Middlesex West Chamber of Commerce as well as the implementation of programs necessary to achieve the mission of the Chamber. The Executive Director is responsible for providing highly visible leadership and building upon the Chamber’s strong reputation in all issues related to the regional economy and community vitality.
    The Executive Director is expected to:
    • Deliver exceptional customer service across the board, maintain excellent business relations, be a team player, have flexibility and adapt easily to needs of the Chamber.
    • Demonstrate supervisory experience and strong knowledge of state and federal labor laws.
    • Assume overall responsibility for management of daily office operations; administration; budget; finance/accounting; building and facilities; press releases; event planning; growth and retention of Chamber membership and sponsorship; Chamber development and marketing programs and events; social media experience a must; experience with ad design; long-term strategic planning; oversight of all Board-directed initiatives and staff leadership.
    • Maintain direct responsibility for the Government Affairs efforts of the Chamber. He/she also provides oversight, guidance and support for any divisions under the Chamber.
    • Establish proficiency with MS Office Suite. Not required, but a plus include: Adobe Creative Suite, Constant Contact, and ChamberMaster. Experience in a membership and/or non- profit organization would be beneficial.

    JOB DESCRIPTION
    EXECUTIVE DIRECTOR
    Areas of Focus
    The following statements are intended to describe the general nature and level of work being performed by the individual assigned this classification.     Program of Work Duties
    • Identify Chamber/Community needs
    • Provide guidance to the Board of Directors when determining Program of Work
    • Implement the Program of Work
    • Evaluate and recommend changes as needed
    • Establish system of measuring progress of program and goal attainment
    • Membership retention and growth
    • Sponsorship retention and growth
    • Committee support and oversight
    • Maintain smooth operations across the board and be a team player
    Business Management Duties
    Operations, Staffing and Personnel
    The Executive Director will be responsible for the functional structure and efficient operation of the Chamber.
    • Will adhere to Employee Handbook and outlined policies
    • Develop operations policy which includes maximizing revenues of the Chamber
    • Manage Chamber facility and all aspects of its operations and maintenance
    • Hire, train, coach and supervise staff and volunteers
    • Schedule staff to maintain coverage of phones and programs/events during hours of operation
    • Adhere to all federal, state and local employment laws
    • Develop and maintain the highest professionalism in staff (to include yourself) through policies, training and continuing education
    • Implementing Internship opportunities
    • Understand and work with individuals, businesses and volunteers
    • Strong time management and organizational skills
    • Maintain payroll records and submissions for all staff
     
     
    Budgeting & Financial Recordkeeping
    The Executive Director will manage the Chamber finances.
    • Develop an annual budget, with the board treasurer and Chamber bookkeeping staff/volunteers, to be presented to the board of directors for approval during the fourth quarter of each year for the upcoming year
    • Forecast long range needs
    • Approve all payments and expenditures within the approved annual budget with the Board’s approval
    • To seek Board approval for any day-to-day purchases over $300
    • Maintain membership records including dues, invoicing and membership trends
    • Collection of outstanding invoices
    • Maintain employee compensation and benefit plans
    • Work within the guidelines of the Chamber’s by-laws
    • Manage the Chamber’s grants and sponsorships annually
    • Manage all state and federal tax payments and filings
    Membership Development
    New Member Recruitment and Outreach
    The Executive Director will lead the membership efforts of the Chamber to develop programs and events to attract new members consistent with established Chamber policy.
    • Establish a personal rapport with potential members through regular contact with various businesses representing a number of key industry sectors
    • Conduct or oversee a needs assessment of non-members and recommend solutions within the scope of the Chamber
    • Set goals for acquiring new members and retaining existing members with the Board of Directors and Ambassadors Committee
    • Conduct new member orientation programs such as The Value of Membership
    • Meet and establish rapport with primary funders to explain Chamber direction, priorities and programs and support sponsorship growth
    • Must be able to create and deliver presentations and have a public speaking background
    Current Member Retention
    • Develop programs to educate and acclimate new and existing members
    • Coordinate and develop an annual membership contact schedule with the Board of Directors and Ambassadors Committee
    • Identify areas of interest or concern/needs within the membership community and recommend possible solutions/resolutions
     
    Community Development/Economic Development
    • Work in a cooperative and professional manner with the state and local economic development agencies to encourage new commerce and growth for the Middlesex West area
    • Actively recruit and develop relationships with prospective businesses
    • Work with the Chamber's communities on local business expansion whenever such opportunities arise
    • Conduct all economic development activities using discretion regarding confidential or proprietary information
    • Work with Chamber members to have Chamber representation on Economic Development Committee (EDC) for each town in the Chamber’s footprint.
    • Will establish and maintain relationship with EDC and/or land use directors
    • Will attend/represent Chamber with School Partnership Committee
    Governmental Affairs
    • Act as an advocate for the business community that may require an official position statement from the Chamber of Commerce
    • Keep informed of projects and legislation that might impact the business community and report to the Board of Directors those issues that may have short- or long-term implications
    • Meet and establish rapport with elected officials at the local, regional, state and federal level and take the lead in the Chamber’s government affairs outreach efforts
    Committees
    • Attendance required at both Board of Directors and Executive Committee meetings
    • Maintain confidential information as well as no disclosure of information discussed or presented in Board or Executive Committee meetings without permission from the Executive Board.
    • Provide leadership assistance in the coordination of committees and/or events
    • Coordinate committees and/or programs to serve member needs as they arise
    • Recruit, motivate and provide recognition for volunteer leaders to serve on Chamber committees and Board of Directors
    • Foster an environment that encourages involvement by all members
    • Strong customer relations, communication and interpersonal skills are essential
    • Works closely with committees, board, and Chamber membership on signature events (i.e. Tastes of Middlesex, Awards Dinner, Annual Meeting, Summerfest)
    • Is required to attend all signature events unless unable to attend due to extenuating circumstances via Board approval.
     
     
     
     
    Marketing
    • Strong social media skills
    • Design and edit flyers and collaterals
    • Website experience-ability to do updates and edits
    • Work closely with Marketing Committee and Web Designer
    • Participate in Marketing Committee meetings
    Events
    • Oversight of membership coordination
    • Event planning, implementation and wrap-up
    • Work on and within event budget limitations
    • Oversight and implementation of all networking events, membership events and ribbon cuttings
    • Works closely with event/membership coordinator and event committees as well as attend committee meetings
